- Manage executive calendar with competing priorities and time-sensitive requests
- Schedule meetings, calls, and events across multiple time zones with internal and external stakeholders
- Proactively identify scheduling conflicts and propose solutions
- Coordinate travel arrangements and detailed itineraries when needed
- Prepare meeting agendas and ensure all necessary materials are ready in advance
- Track and monitor action items from meetings, ensuring timely completion
- Follow up with team members on deliverables and project milestones
- Maintain comprehensive task management systems and provide regular status updates
- Escalate issues and bottlenecks to appropriate stakeholders
- Ensure nothing falls through the cracks in fast-paced environment
- Gather data from multiple departments and systems to create executive reports
- Compile weekly, monthly, and quarterly business updates for CEO review
- Create executive dashboards and KPI summaries
- Synthesize complex information into clear, actionable insights
- Lead and coordinate cross-functional projects on behalf of the CEO
- Develop project timelines, track milestones, and manage deliverables
- Facilitate project meetings and ensure effective communication between teams
- Monitor project budgets and resource allocation
- Manage executive email and prioritize urgent communications
- Draft correspondence, presentations, and internal communications
- Serve as primary point of contact between CEO and internal/external stakeholders
- Handle sensitive and confidential information with discretion
- Attend meetings and take detailed notes for CEO follow-up
- Conduct research on industry trends, competitors, and potential partnerships
- Assist with strategic planning initiatives and company goal setting
- 5+ years of executive assistant experience, preferably supporting C-level executives
- Experience working in remote/distributed team environments
- Must be available to work Pacific Time Zone business hours (8 AM - 6 PM PST)
- Proficiency in project management tools (Asana, Monday.com, Notion, or similar)
- Advanced skills in Google Workspace or Microsoft Office Suite
- Experience with scheduling tools (Calendly, Acuity, or similar)
- Strong written and verbal communication skills
- Exceptional organizational and time management abilities
- Ability to handle confidential information with the highest level of discretion
- Knowledge of accounting/finance basics for report compilation
