- Manage executive calendars: Organize, coordinate, and prioritize meetings, travel arrangements, and events, ensuring that all commitments are met efficiently.
- Serve as a key point of contact: Facilitate clear and effective communication between executives and internal/external stakeholders, ensuring messages are conveyed promptly and accurately.
- Digital organization and email management: Review incoming emails, identify urgent or priority tasks, and manage the follow-up and scheduling of action items accordingly.
- Assist with project coordination: Provide support in organizing, tracking, and updating the progress of ongoing projects, ensuring deadlines are met and tasks are completed on schedule.
- Handle basic bookkeeping: Input and maintain accurate financial records using QuickBooks or similar accounting software, following established procedures and guidelines.
- Prepare and maintain reports: Draft, update, and distribute internal reports, ensuring that all data is accurate, relevant, and aligned with business objectives.
- CRM management: Use customer relationship management (CRM) tools to track interactions with clients, maintain accurate records, and help streamline workflows.
- At least 1 year of experience as an Executive Assistant or in a similar administrative role.
- Strong organizational skills: Demonstrated ability to manage multiple projects and tasks simultaneously, ensuring deadlines are met and priorities are effectively managed.
- Proficiency in data entry: High attention to detail with a focus on maintaining accuracy while entering and managing data.
- Basic bookkeeping knowledge: Experience with accounting tasks such as maintaining financial records, and familiarity with software like QuickBooks or similar accounting tools.
- Fluency in English: Strong written and verbal communication skills in English to interact effectively with clients and internal teams across different regions.
- Proficiency in digital tools: Experience using MS Office, Google Suite, and project management platforms like Monday.com, Trello, or Asana to stay organized and manage workflows.
- Excellent communication skills: Ability to communicate clearly and efficiently, both in writing and verbally, ensuring the smooth flow of information and understanding.
